Wigan and Leigh Carers Centre is registered as a data controller with the Information Commissioner for the United Kingdom. We are committed to protecting your privacy and security. Whenever you provide personal information, we will treat that information in accordance with this policy, current UK GDPR legislation and Internet best practice.

You can use most of the features of our website without disclosing any personal information. A few optional features of this site, such as newsletter registration forms, registering as a carer etc ask you to provide further personal information (eg. name and address, e-mail address).

We will analyse information provided by you in order to determine which communications are most effective, and help us to reduce our administration cost and increase the funds available to support carers. If we wish to use your personal information for an additional purpose, we will always ask you to agree at the point of collection.

Wigan and Leigh Carers Centre (WLCC) is a local independent charity and Company Limited by Guarantee. We provide a range of practical and emotional support services to unpaid carers of all ages across the geographical areas of Wigan and Leigh. Our main funders are; Wigan Council. We work closely with NHS Clinical Commissioning groups.  We have agreements to:

•           Identify carers through development work
•           Deliver a wide range of information, advice and support services
•           Carry out statutory carers assessments

Why do we collect information about you?

When you contact us/we contact you for information, advice or support relating to your caring role you are engaging with us in an agreement for the provision of those agreed services (known as a ‘contract’ for lawful processing). Failure to provide us with the necessary personal information may result in us being unable to provide you with the service or could result in a delay in this provision.  We collect information about you when you register with us, request a Carers Assessment (whether direct or via a 3rd Party) or engage with carers support services including any on-line resources available from our website.

A Carers Assessment will be undertaken on behalf of Wigan Council and all information relating to this assessment will be securely stored directly on their systems. You will be notified of this separately prior to any work being undertaken.

Personal Information

Personal information is any information that can be used to identify you. If you request services from us, make a donation, receive our newsletter, or are involved in any of our fundraising then we may process the personal information that you have provided in order to keep records or to continue providing our service to you.

Examples of Personal information are: your name, email address, postal address, telephone or mobile number and date of birth, financial details, UK Tax payer information (for Gift Aid) and records of responses to campaigns, and other information we gather as part of our relationship with you.

It can also include ‘special categories’ of data, which is information about a person’s race or ethnic origin, religious, political or other beliefs, physical or mental health, genetic or biometric data, sex life or sexual orientation. The collection and use of these types of data is subject to strict controls. Similarly, information about criminal convictions and offences is also limited in the way it can be processed.  The purpose for collecting this information is for monitoring purposes to help us ensure that our services are fully accessible and to inform the further development of these. It will not restrict your access to a service if you choose not to provide this detail.

We are committed to protecting your personal data, whether it is ‘special categories’ or not, and we only process data if we need to for a specific purpose, as explained below.

We collect your personal data mostly through our contact with you, and the data is usually provided by you, but in some instances we may receive data about you from other people/organisations. This is a list of your personal data that we may receive from other people or organisations.

All employees and volunteers who have access to your personal data are obliged to respect the confidentiality of this information and are provided with training to ensure this occurs.

How do we use your information?

  • To process personal information which is necessary in supporting our Carers, this includes medical information such as disabilities or allergies. This information will be used to structure service provision and to ensure that the support that we provide as well as the safety of our Carers is always our priority.
  • To provide you with information (such as events, support, fundraising or campaigning activities), services or products you’ve requested or which we feel may interest you.
  • For the purposes of customer analysis and, where you have consented to us doing so, direct marketing. We may process your information to help us with our activities and to provide you with the most relevant information.

We may share your details with trusted service providers in order to fulfil the above services.  Where this service is done on behalf of Wigan and Leigh Carers Centre this is done under contract and relevant security measures are taken.  Information sharing will only be done where the Law permits, it will be done in compliance with the Law and the Information Commissioner’s statutory guidance on data-sharing.

How long we keep your data?

At Wigan and Leigh Carers Centre we have various legal retention periods that we must follow. If you wish to know the retention period for any information we hold on you please email us at info@wlcccarers.com or call the Centre on 01942 697885.

Some retention periods are based on legal requirements while others take into account practical needs to keep the data.
Once the applicable retention period expires, unless we are legally required to keep the data longer, or there are important and justifiable reasons why we should keep it, we will securely delete the data.

If you feel there is a problem with the way that Wigan and Leigh Carers Centre handles your data, you have the right to complain to the Information Commissioners Office (ICO).

How do I control / change the data you send me?

Users aged under 16

If you are aged under 16, please ensure you obtain your parent/guardian’s consent before sending any personal information to this website or Wigan and Leigh Carers Centre.

We do have events and activities for under 16s, for our young carers, prior to taking part in these please ensure you speak to your parent or guardian. Parent/Guardian consent is required for all those under 16.

Parents, carers and guardians

We encourage you to be aware of the activities in which your children are participating in both offline and online, particularly with regard to social media and third party websites. If your children voluntarily disclose information, this may encourage unsolicited messages. We suggest that you discourage your child from providing any information without your consent.

Access to your own information/data

You can contact us anytime by letter, telephone or email to change or update your details.  You can obtain a copy of your record this is known as ‘subject access request’.  We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.

Email Newsletter

This website operates an email newsletter program, used to inform subscribers about products and services supplied by this website. Users can subscribe through an online automated process should they wish to do so but do so at their own discretion. Some subscriptions may be manually processed through prior verbal/written agreement with the user.

Subscriptions are taken in compliance with UK Spam Laws detailed in the Privacy and Electronic Communications Regulations 2003. All personal details relating to subscriptions are held securely and in accordance with the Data Protection Act 1998. Email marketing campaigns published by this website or its owners may contain tracking facilities within the actual email. Subscriber activity is tracked and stored in a database for future analysis and evaluation. Such tracked activity may include; the opening of emails, forwarding of emails, the clicking of links within the email content, times, dates and frequency of activity [this is by no far a comprehensive list].

This information is used to refine future email campaigns and supply the user with more relevant content based around their activity.

In compliance with UK Spam Laws and the Privacy and Electronic Communications Regulations 2003 subscribers are given the opportunity to un-subscribe at any time through an automated system.
